Wondering how you can use QR codes to speed up your admin and event entry queues? Here’s how…

Feedback from clients has shown that a lot of time at events is taken up with checking tickets against printed spreadsheets – especially difficult with several events/heats in one day – and trying to stop tickets swaps mid-event.

So we’ve developed a QR code system to make it super simple to check people in and check tickets instantly for swaps. It’s an optional extra – free to use – that can significantly reduce admin time.

Once you have successfully signed up as an OrderWhizz partner, you’re ready to start selling tickets and it’s a quick process to add the QR scan function to your event.

To manage your event effectively, you’re given a unique admin page where you will set up and manage all your events in one place. On your dashboard, you have the option to enable ‘Scanned Event’ for any event you set up and OrderWhizz does the rest.

Now, when you go through the standard process of ordering a ticket as a customer, you will also receive a QR code unique to your order with your email ticket receipt.

So far so good, but do you need fancy gadgets and software to scan the tickets at the event?

No! In fact, all you need are relatively up to date personal phones – your volunteers or staff will no doubt already have one – with an up to date browser such as Google Chrome, Safari or Firefox on it.

It takes a few minutes to register the phones with OrderWhizz on the day: on your event admin page, there is an option to ‘Register Scanner’. Each person that needs to simply scans the QR code this button displays and that’s it – their phone will be ready to scan tickets for the event in question. Simple!

What if a customer bought more than one ticket for different parts of the event?

When an order is scanned, the scanning system displays the option to either ‘Accept All’ if all tickets are being used at once, or to select the ones being used at that time and accept only those. When the ticketholder comes back later you will know which of their tickets are still to be used.

And to help stop tickets swaps, the system will tell you when a ticket has already been used if an attempt is made to use it again. It really is that straightforward.
